This role is expected to work in the office 5 days a week.

Facility Coordinator - Retail is responsible to bring best-in-class workspaces, facilities and amenity services that align with Schwab’s mission, values, and objectives.   Facility Coordinators support the Facilities team maintaining the structure of our buildings, our surrounding property, our building interiors, and customer service to our occupants. This position will provide support for 80 retail branch locations.

 Schwab Corporate Real Estate (CRE) is a highly collaborative department with Facility Coordinators partnering with Senior Facility Managers, Branch management, Desk Top Technology and Security to ensure timely and accurate performance of routine, facilities service requests.   Regular interaction with CRE managers and contract vendors offers our Facility Coordinators the opportunity to showcase their relationship building skills at their very best.

What You’ll Do:

  • Builds relationships with CRE Staff, CRE vendors and Retail office staff requesting facility services for assigned locations.
  • Daily monitoring of open and pending work order review and reporting as directed by the Facilities Coordination & Controls Manager.
  • Provides guidance to service vendors responsible for completing repairs, upkeep, supply ordering and general services following service contract terms and the direction of Sr. Facility Managers.
  • Responsible to assist service providers with office and security badge access, work scheduling, and coordination with the client.
  • Responsible for accurate and timely preparation of vendor invoicing to ensure proper payments are made following Schwab vendor management and accounts payable policies.
  • Maintains of building inspection result records; consults and assists Sr. Facility Managers in closing all related self-generated work orders.
  • Support space allocation verification of occupied and vacant seating; updating records of errors found using Schwab CAFM system.
  • Assist in maintaining property data bases of changes in address, ownership, and emergency contacts.
  • Consults in quarterly business reviews on applicable contract service providers supporting Facility Management.
  • May consult on operating budgets to include variance explanations in circumstances where remote corporate locations are assigned.
  • Responsible for ergonomic work order administration and process execution.
  • Assists as requested in Moves, Adds and Changes requests to include furniture reconfiguration, and re-stacking.
  • Reports to the Facilities Coordination & Controls Manager

Education & Experience

  • High school diploma or general education degree (GED) required.
  • Minimum of 3 years of related experience in customer service or administrative environment or 1 year of Facility Management experience.

Communication Skills

  • Ability to comprehend and interpret instructions, short correspondence, and email inquiries.
  • Experience writing routine correspondence, log-notes, and status updates in work order systems.
  • Skilled in responding to common inquiries or complaints from co-workers or supervisors by applying appropriate tone.
  • Professional phone etiquette and the ability to ask questions to seek understanding of problems and conflict resolution.

Reasoning & Judgement

  • Awareness and ability to solve moderately complex problems and situations with a variety of options in situations maintaining composure and professionalism.  
  • Learning to draw upon the opinions and diversity of others before making recommendations that have a direct impact on the company.  
  • Normally understands own limitations and frequently seeks guidance on matters to minimize risk and thought validation.

Other Skills & Abilities

  • Basic skills with Microsoft Office Suite. 
  • Willingness to learn a work order management system, CMMS, CAFM and project planning software.  Corrigo experience a plus
  • Awareness of contracts and leases. 
  • Comfortable multi-tasking, staying calm under pressure and understanding results are expected.
  • Travel- support for the locations is virtual and very minimal travel.

In addition to the salary range, this role is also eligible for bonus or incentive opportunities
