‘Facility Coordinator – Corporate Service Centers’ is responsible for bringing best-in-class workspaces, facilities and amenity services that align with Schwab’s mission, values, and objectives. Facility Coordinators support the Senior Facility Manager in responsibility of the structure of our buildings, our surrounding property, our building interiors, and customer service to our occupants. Schwab Corporate Real Estate (CRE) is a highly collaborative department with Facility Coordinators partnering with the Senior Facility Manager, Engineering, Events, Security, and Desktop Technology teams to ensure timely and accurate performance of routine, facilities service requests. Regular interaction with CRE managers and contract vendors offers our Facility Coordinators the opportunity to showcase their relationship building skills at their very best. This opportunity is in Westlake, Texas.
What You’ll Do:
- Build relationships with CRE Staff, CRE vendors and Schwab employees requesting facility services
- Daily monitoring of open and pending work order review and reporting as directed by the Senior Facility Manager
- Provide guidance to service vendors responsible for completing repairs, upkeep, supply ordering and general services following the direction of the Property Manager and agreement terms and conditions
- Responsible for accurate and timely preparation of vendor invoicing to ensure proper payments are made following Schwab vendor management and accounts payable policies
- Responsible for assisting service providers with security badge access, escorting, systems access and daily logistics
- Conduct monthly and quarterly janitorial inspections and ensure proper follow through
- Maintain building inspection result records; consult and assist the Sr. Facility Manager in closing all related self-generated work orders
- Responsible for ergonomic work order administration and process execution
- Support space allocation verification of occupied and vacant seating; update records of errors found using Schwab CAFM system
- Assist as requested the Move/Add/Change team on coordinating pre-move in/out clean-up and room numbering quality control
- Assist as needed on Event & Conference set-up and support
- Consult in quarterly business reviews on applicable contract service providers supporting the Sr. Facility Manager
- Consult on annual operating budgets and variance explanations and justifications
- Consult in quarterly business reviews on applicable contract service providers
- Assist in maintaining property data bases of changes in address, ownership, and emergency contacts
- Report to the Senior Facility Manager
We believe in the importance of in-office collaboration and fully intend for the selected candidate for this role to work on site five days a week in the specified locations.
Applicants must be currently authorized to work in the United States on a full-time basis without employer sponsorship.

Required Qualifications:
- High school diploma or general education degree (GED)
- Minimum of 3 years of related experience in customer service or administrative environment or 1 year of Facility Management experience
- Basic skills with Microsoft Office Suite
- Ability to travel to two Phoenix campuses as needed
- Ability to bend and lift up to 50 pounds
- Ability to comprehend and interpret instructions, short correspondence, and email inquiries
- Experience writing routine correspondence, log-notes, and status updates in work order systems
- Skilled in responding to common inquiries or complaints from co-workers or supervisors by applying appropriate tone
- Professional phone etiquette and the ability to ask questions to seek understanding of problems and conflict resolution
- Awareness and ability to solve moderately complex problems and situations with a variety of options in situations maintaining composure and professionalism
- Ability to learn to draw upon the opinions and diversity of others before making recommendations that have a direct impact on the company (normally understands own limitations and frequently seeks guidance on matters to minimize risk and thought validation)
Preferred Qualifications:
- Comfortable multi-tasking, staying calm under pressure and understands what results are expected and the priority of the results
- Ability to learn CMMS, CAFM and project planning software
- Awareness of contracts and leases
