Schwab’s Investment Platforms, Solutions, and Strategy (SIPSS) organization brings together leaders across innovative and evolving investment capabilities, including digital assets, artificial intelligence, private markets, and product strategy. This team is focused on delivering a differentiated and forward-looking investment platform that meets the changing needs of clients.
In this role, you will provide high-impact administrative and operational support to multiple Managing Directors, enabling leadership effectiveness, seamless execution of priorities, and strong cross-functional collaboration. You will play a critical role in orchestrating complex schedules, aligning leadership priorities, and ensuring that key meetings, events, and initiatives are executed with precision. Your ability to anticipate needs, solve problems in real time, and adapt to shifting priorities will directly influence team productivity and overall organizational efficiency.
You will manage dynamic executive calendars, navigating competing priorities and resolving scheduling challenges with thoughtful decision-making and clear communication. By partnering closely with other administrative professionals and business stakeholders, you will coordinate large-scale meetings, leadership forums, and cross-functional engagements, ensuring alignment across stakeholders and a seamless experience for participants. This includes preparing agendas, organizing materials, and supporting meeting execution from planning through follow-up.
Additionally, you will oversee travel planning and logistics, optimizing schedules while managing costs and ensuring a smooth experience for leaders. You will handle expense management with accuracy and timeliness, while maintaining visibility into leadership travel plans and availability to support broader team coordination.
Your impact will also extend to broader team and organizational support, including preparing business materials, maintaining team resources, coordinating events, and supporting onboarding and interview processes. Through strong organization, attention to detail, and proactive communication, you will help foster collaboration, engagement, and operational excellence across the team.
This role requires a high level of discretion, professionalism, and adaptability. You will be trusted to handle confidential information, navigate ambiguity, and make informed decisions that support leadership effectiveness and team success.
What you have
Required Qualifications:
- 5-10 years of experience supporting executive-level leaders in a corporate or financial services environment, including travel planning and expense management
- Advanced proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Office 365)
- Demonstrated ability to manage complex calendars, prioritize competing demands, and resolve scheduling conflicts effectively
- Strong organizational skills with the ability to manage multiple priorities and deliver high-quality work within tight timelines
- Excellent verbal and written communication skills, with the ability to engage effectively across all levels of the organization
- Proven ability to handle sensitive and confidential information with sound judgment and discretion
- Experience coordinating meetings, events, and travel logistics with a high degree of accuracy and attention to detail
- Ability to work independently, demonstrate initiative, and proactively solve problems in a fast-paced environment
Preferred Qualifications:
- Experience using enterprise tools such as Workday, Ariba, and Concur
- Demonstrated ability to build strong partnerships and collaborate effectively across teams and functions
- Strong adaptability and flexibility, with the ability to anticipate needs and adjust quickly to changing priorities
- Experience supporting recruiting coordination, including interview scheduling and candidate logistics
- Proven ability to contribute to team engagement through coordination of events, communications, and recognition activities
