Your opportunity

At Schwab, you’re empowered to make an impact on your career. Here, innovative thought meets creative problem solving, helping us “challenge the status quo” and transform the finance industry together.

We believe in the importance of in-office collaboration and fully intend for the selected candidate for this role to work on site in Lone Tree, Colorado. This is a fully onsite position, and schedule flexibility is needed to support meetings and events that may occur during evenings or weekends.

As Manager, Conferencing & Event Operations, you will help create seamless, high-touch experiences across Schwab’s onsite conferencing, training, and specialty event spaces. You will oversee local scheduling and event logistics, partner with event hosts and service providers, and provide day-of leadership so meetings and events run smoothly from planning through completion.

This role offers meaningful visibility across the organization and the opportunity to improve how employees, leaders, and guests experience Schwab’s workplace. You will combine event operations, relationship management, vendor coordination, budgeting, technology, and data analysis while helping modernize tools and processes that support conferencing and events.

What you’ll do

Conferencing and event operations

  • Own and maintain the room-booking system and ensure information for conferencing, training, hoteling, and specialty event spaces is accurate and current.
  • Oversee, approve, and coordinate local event scheduling, resolve room conflicts, and communicate space information and operating expectations to employees.
  • Partner with event hosts to understand their objectives and translate them into clear logistical plans covering room setup, audiovisual support, catering, security, janitorial services, and other event needs.
  • Maintain event calendars, submit setup requests, create room diagrams, and verify internal quotes for event services.
  • Coordinate external event quotes, agreements, contracts, invoices, and payments in accordance with applicable processes and requirements.
  • Provide onsite oversight and serve as the primary point of contact for event hosts, vendors, audiovisual partners, catering teams, facilities partners, and other service providers.
  • Anticipate risks, troubleshoot issues in real time, and make sound decisions that support a professional and positive event experience.

Relationships, vendors, and business operations

  • Build trusted relationships with employees, event hosts, colleagues, senior leaders, and vendors while serving as a Corporate Real Estate liaison.
  • Partner with service providers to maintain strong working relationships and deliver consistent support for conferencing spaces and events.
  • Participate in quarterly business reviews and provide clear, constructive feedback on vendor performance and service quality.
  • Manage the site cost center’s annual budget, monitor spending, and support accurate forecasting and financial reporting.
  • Lead campus tours and support special projects and other Corporate Real Estate priorities as needed.
  • Travel occasionally based on business needs.

Tools, reporting, and continuous improvement

  • Maintain the team SharePoint site and lead the management of shared Outlook mailboxes and work assignments.
  • Research and help implement a new room-booking tool, including requirements gathering, testing, communications, training, and adoption support.
  • Help manage new vendor contracts and services supporting conferencing and event operations.
  • Support utilization reporting, event and specialty-space activity tracking, data analysis, and external-event rental-pricing benchmarks.
  • Use feedback, operating data, and partnership insights to recommend improvements to spaces, services, tools, processes, and the overall event experience.
